AI PARTNER SOLUTIONS LTD(“we”, “us”, “our”), registered in England and Wales (company number 16932573), is the data controller for personal information collected through this website and our services.

We are registered with the Information Commissioner’s Office (ICO reference ZC144985).

Summary

We collect only what we need. We use your data to respond to your enquiry and, if you become a client, to deliver our services. We do not sell your data, send unsolicited marketing, or share it with third parties except where necessary to operate our business.

1. Data we collect

When you submit the contact form on this website, we collect: your name, agency name, role, email address, telephone number (optional), and the information you provide in your message. We do not use cookies for tracking, advertising, or analytics beyond basic Vercel performance metrics, which are anonymised at the edge.

2. Why we collect it

We process your contact details to respond to your enquiry (legitimate interest) and, where you become a client, to fulfil our contractual obligations. We may also retain records of correspondence for accounting and legal compliance purposes.

3. Legal basis

  • Legitimate interests — responding to unsolicited enquiries from prospective clients.
  • Contract performance — delivering services to clients who engage us.
  • Legal obligation — retaining financial records as required by HMRC.

4. Who we share data with

We use Resend (resend.com) to deliver contact form submissions to our inbox. Resend processes email on servers within the EU/EEA. No other third parties receive your personal data without your explicit consent, except where required by law.

5. How long we keep it

Enquiries that do not result in a client relationship are deleted within 12 months. Client records (contracts, correspondence, invoices) are retained for seven years after the end of the engagement, in line with HMRC guidance.

6. Your rights

Under UK GDPR, you have the right to: access the personal data we hold about you; correct inaccurate data; request deletion; restrict or object to processing; and data portability. To exercise any of these rights, email us at info@aipartner.london. We will respond within one calendar month.

If you are not satisfied with our response, you have the right to lodge a complaint with the ICO at ico.org.uk/make-a-complaint.

7. Security

All data transmitted to this website is encrypted in transit via TLS. Contact form submissions are delivered over encrypted SMTP. We do not store form submissions in any database — they are delivered directly to our inbox.

8. Changes to this policy

We may update this policy periodically. The effective date at the top of the page will always reflect the most recent revision. Material changes will be communicated to active clients by email.
